Reservations Manager


Position Summary

The Reservations Manager position is responsible for leading the reservation and guest service functions by ensuring all reservations are processed in a pleasant, professional, and efficient manner.  This position will have expert knowledge of the Company brand and products to uncover the needs of guests and recommend personalized solutions that will help create experiences and memories like no other destination.

Full Time

Hours: M-F 40/week

Primary Responsibilities

  • Represents the Company as both a leader and a salesperson, offering expertise to help solve guest problems along with the team.
  • Manages a team of Reservation Agents, to include schedules and coverage.
  • Possess knowledge of homes, resorts, and amenities to ensure all agents are equally knowledgeable.
  • Trains staff in taking reservations, telephone etiquette, processing emails, and reporting work orders/maintenance concerns to the operations team.
  • Contributes to creating Standard Operating Procedures and onboarding material.
  • Provides performance management with one-on-one coaching, counsel sessions, and maintaining performance logs.
  • Ensures the team has the proper tools to succeed.
  • Assists with guest management escalation calls/requests.
  • Works within a Property Management System (Track), to manage reservations.
  • Works with external/internal team members (concierge, operations, customer service) to satisfy guest needs.
  • Performs other duties as assigned by supervisor.

    Job Requirements (Experience, Knowledge, Skills)

  • A High School Diploma or equivalent.
  • Four (4) years of sales and customer service experience in a leadership role.
  • Four (4) years of  experience in the travel or hospitality industry, preferably in vacation homes.
  • Effective communication skills in spoken and written formats with both internal and external customers.
  • Attention to detail.
  • Working knowledge of Property Management Systems (Track and Trip Around are a plus!) and a broad understanding of Vrbo and Airbnb platforms.
  • Demonstrated ability to utilize internal computer software, web-based resources, and Microsoft Office programs.
  • Ability to learn and utilize multiple systems in the completion of job functions.
  • Ability to work independently in a fast-paced, metric-driven environment.
  • Decision making skills in situations where variables exist.
  • Ability to assess situations and make mutually beneficial decisions within established guidelines.
  • Sales skills including positioning products to meet the needs of customers.

    • Must be able to lift up to 15 pounds at a time.

    Travel Sales Agent

    Earnings:  Hourly + Commission

    Hours: M-F 40/week with a rotating Saturday

    Essential Duties and Responsibilities

  • Actively participate in coaching sessions and additional training sessions
  • Attend presentations by vendor partners to further product/service knowledge
  • Adhere to strict scheduling requirements to ensure coverage for the sales team
  • Meet all deadlines
  • Travel to Los Cabos, Mexico for familiarization trips
  • Perform general office duties and complete additional projects as requested by management
  • Follow established company/ department procedures
  • Learn and utilize multiple computer programs including a reservation system (Track PMS), lead management system (TripAround), live chat system (Tawkto), instant message system (Microsoft Teams), email system (Outlook), website, company network drives, and basic Office and computer navigation skills

  • Minimum Qualifications and Experience

  • 3 years travel industry experience
  • Minimum, Associates degree
  • Proven sales skills
  • Microsoft Office 365, reservation software and multi-line phone systems
  • Excellent organizational skills and attention to detail
  • Must be able to learn and memorize a large amount of information
  • Clear and concise verbal and written skills, 50 WPM
  • Manage multiple priorities and projects effectively
  • Motivated, enthusiastic and positive
  • Self-starter
  • Call center experience
  • Knowledge of Los Cabos, Mexico a plus
